The quiet confidence checklist before you approve an import order

Seven questions that turn a promising supplier conversation into a safer buying decision.

The best import orders begin with a feeling that is easy to recognise: there are no important blanks left to guess.

Price matters, but a low quote cannot repair an unclear MOQ, a missing certificate, a vague lead time, or a packaging decision made after production has started. Before approving an order, ask for a simple written view of the product specification, sample standard, minimum order quantity, packaging, documents, delivery window, and the person accountable for updates.

Seven questions worth asking

  1. What exactly is included in the quoted product specification?
  2. Which sample or approved reference will production follow?
  3. What is the MOQ, and can the container be mixed responsibly?
  4. What packaging protects the product and supports the destination market?
  5. Which certifications or export documents apply to this shipment?
  6. When will production, inspection, and dispatch each happen?
  7. Who will answer if the plan changes?

These questions are not about creating friction. They create the calm that lets both sides move quickly. At Helvox, we use them to shape an RFQ into an executable plan—one a buyer can share confidently with procurement, finance, and operations teams.

Good trade feels less risky because it is more visible. That is the standard we aim to bring to every sourcing conversation.
